Manual / Settings & administration
Team members and roles
Invite people to help run WorshipHQ, and control exactly what each can see and do.
The Main Admin and Admins Open in WorshipHQ
Invite a teammate
- 1Go to Settings, then Users & roles.
- 2Under Invite a teammate, enter their Full name and Mobile number (and email if you like).
- 3Choose their role, then Send SMS invite.
- 4They get a text with a link to accept, verify their number, set a password and add a photo.
Your plan limits how many team members you can have. When you reach it, Invite a teammate shows how many your plan includes, and you can upgrade in Billing to add more.
The built-in roles
| Role | Typically for |
|---|---|
| Main Admin | The person who created the church. Full control, including billing. Can add and remove Admins, and can hand the role to another Admin. |
| Admin | Senior staff. Everything except billing and the Main Admin role. Can add other Admins and any other role, but cannot remove or change the Main Admin or another Admin. |
| Pastor | Pastoral staff: people, care, counselling. |
| Finance | Treasurers: giving and accounts. |
| Media | Media team: content such as sermons and devotionals. |
| Leader | Department or ministry leaders. |
| Volunteer | Helpers, e.g. check-in at the door. |
Change what a role can do
Under the built-in roles, choose Edit on a role to see every section of WorshipHQ. For each section choose View (can see it) or Manage (can add and change things). A person with only View sees the information but cannot add, edit or delete anything, and the buttons for it are switched off. Use All view or Clear to set everything at once.
Custom roles
- 1Under Custom roles, type a Role name, e.g. "Finance - Day Born".
- 2Tick what the role can view and manage.
- 3Tick Allow this role to delete records only if they should be able to delete. Otherwise they can only add and edit.
- 4Choose Create role, then give it to a team member.
Change someone's role or remove them
Under Your team, change a person's role and choose Update, or remove them. Remove people who leave your church promptly.
