Manual / People & congregation
Bring in your members from another system or a spreadsheet
Upload an export from your old system, check what each column is, do a practice run, then import.
You do not need to reformat anything. Export your members from the old system (or open your own spreadsheet), and upload it. It does not matter how the columns are named or ordered.
- 1Go to People (Adults tab) and choose Import members.
- 2Choose your file: Excel (.xlsx), .csv or .txt. Title lines above the headings are skipped. Files saved with semicolons or tabs are read too.
- 3On In your file / Examples / It is, check what each column is. We guess from the heading and from the values (a column of phone-like numbers is a phone). Change any that are wrong, and choose Do not import for the ones you do not want.
- 4A column we do not recognise can be kept as an extra detail under its own heading, so nothing from the old system is lost. A column of old member numbers is kept as Old member number.
- 5Choose Check it first. This is a practice run: it shows how many people are new, how many are already in WorshipHQ, and any rows we could not read. Nothing is added yet.
- 6If some people are already here, choose what to do: Fill in what is missing (the default, never overwrites), Leave them alone, or Add them again anyway.
- 7Choose Add and keep the window open until it finishes.
- People are matched as already here by phone number, email, or name and date of birth, so importing the same file twice does not create duplicates.
- Names can be one column ("Kofi Mensah", or "Mensah, Kofi") or separate first and last name columns.
- Dates are understood however they are written (15/05/1990, 5-Mar-85, March 3 1979, Excel dates). Day comes before month unless that is impossible.
- Departments and groups in your file (several in one cell, separated by commas) are created if they do not exist yet, and the person is added to them.
- Children and teens are filed under the right age group from their date of birth, using the ages you set in Settings, Age groups.
- Every new member gets a member ID. Up to 20,000 people per file, in slices so a big church is fine.
Google Sheets: File, Download, then Microsoft Excel (.xlsx) or Comma-separated values (.csv). An old .xls file: open it in Excel and use Save As to make a .xlsx.
This brings in members and their details. Giving and attendance history from an old system can be added later; send us a sample export of those and we will set up the match.
