Manual / Attendance & events

End a service and send the attendance report

Close check-in and text the totals to your leaders.

Open in WorshipHQ
  1. 1On the service's page, choose End service.
  2. 2Under Who gets the report, tick Admins and/or Everyone with attendance access.
  3. 3Add Extra numbers for people without a login, one per line or separated by commas.
  4. 4Edit the Message if you like. Use Insert to add the totals (adults, teens, children, visitors, total) and check the Preview.
  5. 5Under Thank everyone who came, tick the box if you want every member who checked in to get a warm thank-you text (see below). Visitors who have been before get a separate welcome back text.
  6. 6Confirm. Check-in closes and the report is texted.

Thank everyone who came

Every member who checked in and has a phone number can get a text such as "Thank you for worshipping with us today, we were blessed to have you. Have a blessed week ahead!" Children and people without a phone are left out. A first-time visitor already gets their own welcome, so they are left out too, but a visitor who has been before gets a Welcome back text (edit it under Message templates, Welcome back after service). Nobody is texted twice in a day. It uses SMS credits, and the dialog shows how many people it will reach and the cost. It is off by default.

  1. 1Go to Attendance and choose Set up on the Thank members after service bar, or go to Settings, then Service times.
  2. 2Switch it On and tick the services where it should be ticked by default, for example your Sunday services. Tick Other programs I start myself to include one-off programs.
  3. 3Choose Save.
  • Whether it is on or off, whoever ends a service can still tick or untick Thank everyone who came that day.
  • Edit the wording under Communications, Message templates, Thank you after service.
  • On a large congregation the texts go out one after another. Any that are not finished when you end the service are sent over the next hour, and if you run out of credits the rest go when you top up.
  • Forgot to tick it? On an ended service choose Thank everyone who came to send it later.

Your choices are remembered for next time. Ended a service by mistake? Open it and choose Reopen to continue checking people in.

The report uses SMS credits. If you don't have enough, some messages may not send. The screen warns you before sending.
